Planning a wedding is exciting… and expensive!
From the venue to the decor, every detail seems to come with a price tag — and often a bigger one when the word “wedding” is attached. But the good news is that you can have a beautiful, memorable wedding without blowing your budget.
As an event coordinator with over a decade of experience, I’ve seen where couples tend to overspend and where they can easily save. Here are my top 10 budget friendly wedding hacks to help you plan your dream day without the financial stress.
1. Keep Your Guest List Small
This might not be the most exciting advice to hear, but it’s honestly the single biggest factor that makes your wedding budget-friendly.
Your guest count has the biggest impact on your wedding budget. More guests means higher catering costs, more tables and decor, larger venues, and more rentals. Everything tends to scale up quickly.
Many weddings fall between 50–180 guests, but the ideal number depends on your venue and vendors. Keep in mind that some caterers and venues have minimum guest requirements, so aim to find the sweet spot for your budget. I’ve seen many couples feel relief once they narrow down their guest list to the people they truly want there. A smaller guest list often creates a more intimate atmosphere where you actually get time to connect with the people celebrating alongside you.
2. Choose a Venue That Includes Extras
When planning a budget friendly wedding, going with a venue that includes equipment and services can save you thousands of dollars!
When touring venues, ask what’s included, such as:
- Tables, chairs, and linens
- Glassware and cutlery
- Audio-visual equipment
- Ceremony and reception spaces
- Getting-ready rooms
- Venue staff or coordinators
Over the years I’ve seen couples save a surprising amount simply by choosing a venue that includes these items instead of renting everything separately. Another thing to look for is whether the venue allows you to bring in your own vendors. Having flexibility with catering and bartending can make a huge difference when you’re trying to stay within your budget.
3. Skip the Traditional Wedding Cake
This one might be a little controversial… but you don’t necessarily need a large multi-tier wedding cake.
Many couples spend hundreds of dollars on a cake that ends up being cut for photos and barely eaten.
Instead, opt for fun and affordable alternatives like:
- Donut walls
- Dessert platters
- Ice cream carts
- Pie tables
If you still want the classic cake-cutting moment, order a small display cake and serve guests sheet cake from a local bakery or grocery store.
4. Keep Decor Simple
Simple decor is often the most timeless and romantic.
Some of the most timeless weddings I’ve seen used neutral colours, soft greenery, candles, and minimal florals. These small touches create a warm, romantic atmosphere without requiring elaborate decor.
If fresh florals are driving up your budget, consider:
- Using faux or dried florals
- Repurposing ceremony flowers for reception decor
- Reusing bridesmaids’ bouquets as centerpieces
One of my favourite tricks is repurposing decor throughout the day. Ceremony arrangements can easily be moved to the reception space, giving you twice the use for the same cost.
Bonus tip: If you choose to go the faux florals route, they can often be resold after the wedding.
5. DIY Where You Can
If you enjoy being creative, DIY projects can be a great way to personalize your wedding while saving money.
Some common budget-friendly DIY ideas include:
- Printable signage from Etsy customized in Canva
- Handmade centerpieces or bouquets
- Doing your own hair and makeup (or just hiring a stylist for the bride)
I’ve also seen many brides host a DIY evening with their bridal party to assemble decor or centerpieces together. It becomes a fun memory during the wedding planning process rather than just another task on the list.
6. Consider an Adults-Only Wedding
This can be a difficult decision, but it’s one many couples choose when trying to keep their guest list and budget manageable. While kids can be a sweet addition to a wedding (especially as adorable flower girls or ring bearers) each additional guest does increase costs for catering, seating, and venue capacity. Some couples choose to invite only children in their immediate family, while asking extended family and friends to arrange childcare.
Bonus Tip: If it feels uncomfortable to ask this, I completely understand. As a mom to young children myself, I know that bringing kids to a wedding can actually be exhausting for both parents and little ones. Between nap schedules, trying to keep them quiet during the ceremony, and leaving early to make bedtime, it can turn into a long day for everyone. Often, arranging childcare allows parents to relax, enjoy the celebration, and fully be present — which is better for the parents, the kids, and the rest of the wedding guests.
7. Simplify the Bar
The bar The bar is another area where wedding costs can quietly climb higher than expected.
You don’t need a huge selection to create a fun experience for guests. Many couples choose to keep things simple by offering:
- Red and white wine on each table
- A few beer options
- One or two signature cocktails
Signature drinks are a fun way to add personality without stocking a full bar menu.
Some couples also choose drink tickets or a toonie bar to help manage costs while still keeping the celebration going.
8. Skip the Limo
Hiring a limo can be fun, but it’s definitely one of those wedding expenses that isn’t always necessary.
If you’re hosting your wedding locally, simple transportation options can work just as well. I’ve seen couples:
- Use hotel shuttle services
- Ask a friend or family member to drive
- Arrange Ubers or taxis
At the end of the day, the goal is simply getting everyone where they need to be — and sometimes the simplest option is the most practical.
9. Use Your Community
One of my favourite wedding planning tips is to look at the people already in your life before hiring vendors.
Many couples are surprised to discover how many talented friends or family members are happy to help with small roles on the big day.
This could include:
- A licensed friend bartending
- A musician playing during the ceremony
- A family member officiating
- Someone helping with setup or decor
Not only can this save money, but it also makes your wedding feel even more personal and meaningful.
10. Keep Wedding Favours Simple
Wedding favours are a sweet way to thank guests for celebrating with you, but they can quickly become an unexpected expense.
If you decide to include favours, keeping them small, practical, and meaningful is usually the best approach.
Edible favours tend to be the most popular since guests can enjoy them right away. Small treats or simple keepsakes are often appreciated far more than larger items that guests may not take home.
Final Thoughts
At the end of the day, the most important thing about your wedding isn’t making it Pinterest-perfect — it’s celebrating your love and the people who matter most in your life.
Some of the most beautiful weddings I’ve been part of were also the simplest ones. When couples focus on what truly matters to them, the entire day feels more relaxed, meaningful, and memorable.
Take a deep breath, trust your vision, and enjoy the process of planning a day that reflects you.
